1. Acceptance and other documents
By visiting fieldfolio.io, opening the FIELDFOLIO app, creating an account, or using any FIELDFOLIO feature, you agree to these Terms. If you do not agree, do not use the service. If you use FIELDFOLIO for a business, you say you can bind that business.
These Terms work with three other documents: the End User License Agreement (the license for the apps), the Privacy Policy (which also covers cookies, local storage and the customer data you enter), and the Subscriptions, Billing and Refund Policy. They are all listed on the Legal page. If two of them seem to disagree about the same thing, the more specific one wins for that topic.
The iPhone app has a copy of FIELDFOLIO on your device so you can keep working without a signal. Apple is not a party to these Terms and has no duty to support or maintain FIELDFOLIO.
2. Accounts, crews and teams
You must be at least 18 years old and use FIELDFOLIO for a business or trade. Nobody under 18 may create an account or use the service.
An account is required on every plan, including the free Basic plan, on the web and in the iPhone app. Sign-in is handled by our authentication provider, Supabase. Give us accurate information, use a strong password you do not reuse, and keep your sign-in email under your control. You are responsible for everything that happens under your account, including what authorized users such as crew members do. Tell us right away if you think someone got in without your OK.
On a Crew plan, one owner account pays and controls the seats. The owner decides who joins, what role they have, and when they are removed. If you join a crew, the owner gets read-only access to the jobs, photos, and notes you add to the crew with Add to crew. Add to crew is on by default, and you can turn it off for any job. Crew members get read-only access to the owner’s saved jobs. A Subcontractor only sees the jobs the owner tags to them. If you send a report to a GC inbox, that GC can see it. Do not add anything to a crew or send anything that you are not willing to share with them.
If you run a crew or team, you are responsible for the people you add. Remove people who leave, and do not let several people share one login.
3. Plans and payments
FIELDFOLIO has a free Basic plan and paid plans. Plans, prices, renewals, cancellation, one-time trade packs, taxes, and refunds are all explained in the Subscriptions, Billing and Refund Policy, and that page is the only place those terms live. Paid features are billed where you bought them: by Stripe if you bought on our website, or by Apple if you bought in the iPhone app. Your plan follows your account on every device you sign in on.
4. Content, customer data, backups
Photos, recordings, notes, customer information, job records, messages, and folios you submit are your user-generated content. You say that you have all the permissions and notices needed to collect, use, store, and share it. You are responsible for its accuracy, retention, access controls, customer notices, and exports. KEEP YOUR OWN BACKUPS. Local or cloud storage can fail, be cleared, be corrupted, be delayed, be unavailable, or be lost for good.
You own your content. You give us a limited license to host, store, copy, resize, display, and transmit it only as needed to run the service for you, such as syncing to the cloud, building a report or folio you ask for, and showing a shared link to the people you send it to. That license ends when your content is deleted, subject to the backup and legal-record limits in the Privacy Policy. FIELDFOLIO may resize or compress photos to save space, so a photo in a report may not match the original file on your phone.
Shared reports and links. When you create a share link, export a PDF, send a folio, or hand a report to a customer, a general contractor, or anyone else, you decide who gets it. Send reports only to people who should have them, and do not post a link publicly if it shows customer details. Remove or blur anything you should not show, such as a house number, an alarm panel, or a person. We cannot take back copies other people have already saved or forwarded. FIELDFOLIO does not check that you have permission to share what is in a report.
For customer and worker data you put into FIELDFOLIO, the Privacy Policy explains who is responsible for what.
5. Acceptable use
FIELDFOLIO is a tool for tradesmen and contractors to document work. These rules keep it safe and useful for everyone, and they apply on the site, the web app, and the iPhone app. Do not:
- break laws or help others;
- upload or share content you do not have the right to use, including other people’s photos, documents, or logos;
- upload photos or notes that show people in a way that breaks their privacy, such as inside a customer’s home where cameras are not allowed, or anyone who has not agreed where the law requires it;
- enter sensitive data you have no reason to hold, such as full payment card numbers, government ID numbers, or health records;
- falsify records: change dates, swap photos, or build a report to show work that was not done, or to mislead a customer, inspector, insurer, or court;
- harass, threaten, defame, or discriminate against anyone, or share hateful, sexual, or violent content;
- upload malware, or anything meant to damage, overload, or break the service or someone’s device;
- probe, scan, or test the security of the service without our written permission (the Security page shows the permitted route);
- use bots, scraping, or automated tools to pull data from the service, or to get around rate limits, plan limits, or abuse checks;
- share a login, sell seats you do not control, or resell access to FIELDFOLIO without our permission;
- pretend to be another person or business, or give false account information;
- send spam, or use our share links or email features to send unwanted messages;
- use the service in a way that exposes us or our providers to legal risk.
If we think these rules were broken, section 12 explains what we may do. Taking action is not a promise to monitor, and we do not have to review content before it is shared.
6. What it is and is not (Disclaimer)
The short version. FIELDFOLIO helps you keep records of your work: photos, notes, checklists, and reports. It does not tell you what the code requires, whether a job is safe, whether it will pass inspection, or whether a record will win a dispute or an insurance claim. You and the qualified people you work with make those calls.
Not professional advice. FIELDFOLIO is not a contractor, engineer, architect, electrician, plumber, HVAC technician, inspector, attorney, accountant, insurer, permit office, safety adviser, or project manager, and we are not a law firm. It does not verify measurements, workmanship, code compliance, permits, claims, customer statements, or payment rights. Nothing in the app, on the site, or in our emails is professional, engineering, legal, tax, insurance, or safety advice, and nothing creates a professional relationship with you. This page is not legal advice either.
Safety. Work on a job site can injure or kill people. Checklists, trade packs, and templates in FIELDFOLIO are general reminders, not safety procedures. They may be incomplete, out of date, or wrong for your site, your trade, or your equipment. Follow the manufacturer instructions, your training, your employer’s safety rules, OSHA and other workplace safety requirements, and the judgment of a qualified person on site. Do not use a checklist item as a reason to skip a lockout, a test, a permit, or protective equipment.
Codes, permits, and inspections. Building, electrical, plumbing, mechanical, fire, and energy codes differ by place and change over time. Local authorities decide what applies to your job and whether it passes. A checked box in FIELDFOLIO does not mean a job meets code. We do not promise that the checklists match any code edition or local amendment, or that a job will pass inspection or receive a permit, license, certificate, or sign-off. Check with the authority having jurisdiction.
Your records and what they prove. Photos, timestamps, notes, signatures, and reports are only as good as what you put in them. We do not verify when or where a photo was taken, who took it, what it shows, or that a signature belongs to the person named. Dates and times come from your device, which can be wrong. A report made with FIELDFOLIO is not a certified record, not a warranty on your work, and not a guarantee that a customer, general contractor, insurer, inspector, arbitrator, or court will accept it.
Insurance, legal, and payment outcomes. We do not promise that using FIELDFOLIO will lower your insurance cost, prevent or win a claim, protect you from a lawsuit or lien, or get you paid. Payment notes, change order fields, warranty fields, and similar items are record-keeping aids, not contracts. Ask your attorney, your insurer, and your accountant what you need for your business, your state, and your contracts.
Measurements and calculations. Anything that looks like a measurement, a quantity, a size, a load, or a calculation is for your convenience only. Verify it yourself before you rely on it.
Other people’s content. We do not review or endorse what users, customers, subs, or general contractors enter or send. Links to other sites are not endorsements. If something in the app looks wrong or out of date, tell us at support@fieldfolio.io and we will look at it. That does not change anything on this page.
7. Your responsibility for your work
YOU ARE SOLELY RESPONSIBLE FOR YOUR WORK AND YOUR BUSINESS. You are responsible for job quality, diagnosis, design, materials, installation, safety, building and trade codes, permits, inspections, licenses, contracts, warranties, insurance, pricing, invoices, taxes, customer relations, disputes, deadlines, and every decision made from information in the service. Verify everything with qualified professionals and the authorities that apply.
YOU USE THE SERVICE AT YOUR OWN RISK. You take on all risk from relying on, sharing, losing, or misreading service content; from job site conditions and decisions; and from dealings with customers, workers, vendors, or other users. To the maximum extent the law allows, you release FIELDFOLIO and the site operator from claims that come from those risks.
8. Third parties
FIELDFOLIO depends on or links to third parties, such as Stripe for website payments, Apple for iPhone app purchases, RevenueCat for checking those purchases, and Cloudflare, Supabase, PostHog, and Forward Email for hosting, sign-in, storage, page counts, and email. The Privacy Policy lists them and what each one gets. Third parties control their own systems, terms, privacy practices, outages, charges, and content, and Apple’s own payment, refund, and cancellation rules apply to what you buy in the App Store. FIELDFOLIO IS NOT LIABLE FOR THIRD-PARTY SERVICES OR ACTS.
9. AS IS, no warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS. To the maximum extent the law allows, FIELDFOLIO disclaims every express, implied, and statutory warranty, including merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, security, and quiet enjoyment. We do not promise uninterrupted, timely, secure, error-free, or virus-free service; that data will be kept; compatibility; or any particular result.
10. Limitation of liability
TO THE MAXIMUM EXTENT THE LAW ALLOWS, FIELDFOLIO AND THE SITE OPERATOR ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, BUSINESS, GOODWILL, OPPORTUNITY, DATA, JOB RECORDS, OR SUBSTITUTE SERVICES, WHATEVER THE LEGAL THEORY. Our total liability for every claim related to the service will not exceed the fees you actually paid to FIELDFOLIO for the service in the twelve (12) months before the event that led to the claim, or US $0 if you paid nothing. These limits apply even if a remedy fails of its essential purpose and even if we were told damages were possible. Some laws do not allow certain exclusions, and those laws control only to the minimum extent they require.
11. Indemnity
You agree to defend, indemnify, and hold harmless FIELDFOLIO, its operator, affiliates, service providers, and their officers, workers, and agents from and against all claims, demands, actions, liabilities, losses, damages, judgments, costs, and expenses (including reasonable attorneys’ fees) that come from or relate to your use of the service, your content or data, your business or jobs, your customers or workers, your breach of these Terms, or your violation of law or another person’s rights.
12. Suspension, ending, deletion
We may suspend or end access, remove content, disable share links, or limit features if we reasonably believe you broke these Terms, put the service or other users at risk, or if the law requires it. We may also refuse, limit, or end access for nonpayment, security, legal compliance, or operational reasons, and we may change, suspend, or discontinue features. When we can, and when it is safe and legal, we will tell you why and give you a chance to export your content. We do not have to give notice first in a case of fraud, abuse, or security risk. We will try to be reasonable, but we decide. Where the law requires it or it is needed to prevent harm, we may tell the authorities.
You may stop using the service at any time and clear local browser storage. If you are signed in, you can delete your account in the app, and this page shows how, or you can email support@fieldfolio.io. What gets deleted and what we keep is in the Privacy Policy. What deleting does to a paid plan is in the Billing and Refund Policy. We may keep limited records as needed for security, abuse prevention, accounting, or law. On termination you may lose access to stored content, so export and back up first. The sections about responsibility, content, assumption of risk, indemnity, disclaimers, liability, and disputes survive.
13. Our property and feedback
FIELDFOLIO, its name, logo, design, software, checklists, templates, and site content belong to us or our licensors and are protected by law. You get a right to use the service as these Terms and the EULA allow. You do not get ownership of any of it. Do not copy, resell, or build a competing product from our templates or code.
If you send us ideas or suggestions, we may use them without paying you or crediting you. You keep ownership of your own content. Nothing here gives us rights to your jobs, photos, or customer data beyond section 4.
14. Governing law and disputes
These Terms are governed by applicable United States law and, to the extent state law applies, the law of the State of Tennessee, without regard to conflict-of-law rules. Any dispute not covered by a mandatory consumer right must be brought in the state or federal courts located in Nashville, Davidson County, Tennessee, and you and we consent to the jurisdiction of those courts. Rights that cannot legally be waived stay in place.
Before filing a claim, please email support@fieldfolio.io and give us 30 days to review it. Many problems are a billing or account issue we can settle quickly.
15. Changes and general terms
We may update these Terms by posting a revised version. The “Updated” date identifies the current version, and continued use after posting means you accept it. If we make a change that matters, such as a new fee for something that was free, we will put a notice on the site or in the app. If a provision is unenforceable, it will be narrowed to the minimum needed and the rest stays in effect. These Terms, the EULA, the Privacy Policy, and any posted purchase terms are the entire agreement about the service. A waiver only counts if it is in writing. You may not transfer your account or these Terms to someone else without our written consent. We may transfer ours as part of a sale or reorganization of the business.
16. Contact and reports
Questions about these Terms: use the Contact page or email support@fieldfolio.io. Do not send confidential information unless we ask for it. To report abuse or a problem with content or an account, email support@fieldfolio.io. For copyright, use the Copyright page. For security issues, use the Security page.
